Terms & Conditions
Last updated: September 2026. These terms apply to all quotations, orders, leases and managed-service agreements with Welcome Coffee Limited.
1. Introduction
These Terms and Conditions ("Terms") govern your use of the website www.welcomecoffee.co.uk (the "Site") and any quotation, purchase, lease, hire or managed-service arrangement you enter into with Welcome Coffee Limited ("we", "us", "our").
By accessing the Site or requesting a quotation, placing an order, or otherwise engaging with us, you agree to be bound by these Terms. If you do not agree, please do not use the Site or our services.
Welcome Coffee Limited is a company registered in England and Wales (company number 16705534) whose registered office is at 71-75 Shelton Street, Covent Garden, London, WC2H 9JQ.
2. Definitions
"Customer" means the person, business or organisation that requests a quotation, places an order or enters into a lease, hire or managed-service agreement with us.
"Equipment" means any commercial coffee machine, grinder, accessory or related product supplied by us, whether sold, leased, hired or provided under a managed service.
"Quote" means a written estimate of price provided by us in response to an enquiry, valid for the period stated on the quote (or, if none stated, 30 days from the date of issue).
"Contract" means the binding agreement formed between you and us when you accept a Quote in writing or by placing an order.
3. Quotations & Orders
All quotations are provided for guidance and do not constitute a binding offer until accepted by us in writing. We reserve the right to withdraw or amend a quotation before it is accepted.
Prices quoted are in pounds sterling (£) and, unless otherwise stated, are exclusive of VAT, delivery and installation. VAT at the prevailing UK rate will be added to all invoices where applicable.
An order placed by you becomes a Contract only when we confirm acceptance in writing. We may decline any order at our discretion.
Lease and hire figures shown on the Site are indicative monthly payments based on typical terms; your actual payments depend on the finance provider's assessment, equipment selected, term and deposit profile.
4. Pricing & Payment
For outright purchases, payment is due in accordance with the terms set out on your invoice. Unless agreed otherwise, payment in full is required before delivery.
For lease and hire agreements, monthly payments are collected by the relevant finance provider under the terms of your separate finance agreement; those terms take precedence over these Terms in the event of any conflict.
Payments made through the Site are processed securely by our payment provider, Stripe. We do not store your full card details.
Prices are subject to change without notice. The price applicable to your order is that confirmed in your Contract.
Overdue invoices may attract interest at 4% per annum above the Bank of England base rate, together with any debt-recovery costs permitted under the Late Payment of Commercial Debts (Interest) Act 1998.
5. Delivery & Installation
Delivery timescales are estimates only. We are not liable for delays caused by circumstances beyond our reasonable control, including (without limitation) supplier delays, transport disruption or force majeure events.
Installation, where included, is carried out by our engineers or approved partners. You are responsible for ensuring the installation site is safe, accessible and meets any reasonable pre-installation requirements communicated to you (e.g. suitable water supply, drainage and electrical connection).
Risk in the Equipment passes to you on delivery. For purchases, title passes once payment has been received in full. For lease or hire arrangements, ownership remains with the finance provider or us as applicable.
6. Warranties & Servicing
New Equipment is supplied with the manufacturer's standard warranty. Extended warranty, parts and labour cover and managed-service plans are available as quoted and are subject to their own terms.
Warranties do not cover damage caused by misuse, neglect, use of non-recommended consumables, limescale or failure to maintain the Equipment in accordance with our or the manufacturer's instructions.
Where a water filtration device is required to maintain warranty validity, this will be stated on your Quote; failure to fit and maintain such a device may invalidate the relevant warranty.
Servicing response times are best-endeavours and are confirmed in your Quote or service agreement.
7. Cancellation & Returns
As most Equipment is supplied to order, bespoke or configured to your requirements, the right to cancel under the Consumer Contracts Regulations does not apply to business-to-business sales of goods made to specification.
Orders for Equipment may be cancelled only with our written agreement and may be subject to a restocking or recompensation charge to reflect costs already incurred.
Lease and hire agreements are governed by your separate finance agreement; cancellation rights under that agreement apply instead.
If you are a consumer (not acting for a business), and the Equipment is not bespoke, you may have statutory cancellation rights; please contact us for guidance.
8. Limitation of Liability
Nothing in these Terms limits our liability for death or personal injury caused by our negligence, fraud, or any other liability that cannot be excluded or limited under applicable law.
To the fullest extent permitted by law, our total liability arising out of or in connection with a Contract shall not exceed the amount paid by you for the Equipment or service giving rise to the claim.
We are not liable for indirect, incidental or consequential losses, including loss of profit, loss of business, loss of goodwill or loss of anticipated savings.
We are not responsible for the performance of third-party finance providers, manufacturers or installation partners beyond our reasonable control.
9. Intellectual Property
All content on the Site — including text, images, logos, product names and design — is owned by us or our licensors and is protected by intellectual property laws.
You may view and download content for personal, non-commercial use only. You may not reproduce, redistribute or exploit any content without our prior written consent.
Product images and specifications are provided for illustration and may differ from the Equipment supplied; we reserve the right to update specifications without notice.
10. Your Obligations
You agree to provide accurate and complete information when requesting a quotation or placing an order, and to comply with all reasonable instructions for the safe use and maintenance of the Equipment.
You are responsible for ensuring that any utility connections (water, drainage, electricity) required for the Equipment are suitable and compliant with relevant regulations.
You must not misuse the Site, attempt to gain unauthorised access to our systems, or introduce viruses or other malicious code.
11. Data & Privacy
We process personal data in accordance with our Privacy Policy and applicable UK data protection law, including the UK GDPR and Data Protection Act 2018.
By submitting an enquiry or quotation request you consent to us using your information to respond, provide quotes, and (where relevant) pass details to finance providers or installation partners to fulfil your request.
12. Governing Law & Disputes
These Terms and any Contract are governed by the laws of England and Wales.
Any dispute arising out of or in connection with them shall be subject to the exclusive jurisdiction of the courts of England and Wales, except that we may take action to protect our intellectual property in any jurisdiction.
We will always attempt to resolve complaints promptly and in good faith. If you have a complaint, please contact us using the details below.
13. Changes to These Terms
We may update these Terms from time to time. The version applicable to your use of the Site or any Contract is the version published on the Site at the relevant time.
Continued use of the Site after changes are posted constitutes acceptance of the updated Terms.
